Student Experience Team Student Experience Team

Planning your study schedule should be smooth and stress-free! Whether you are logging in for the first time, swapping your class time yourself, checking national course offerings, or applying to join a full class due to special circumstances, this guide provides all the links and step-by-step resources you need to manage your timetable at Ikon.

In this article:

  • Viewing Your Schedule: Access your personal timetable and national offerings.
  • Understanding Class Codes: Decode your updated class format.
  • Swapping Classes: Change your class time yourself with no approval needed.
  • Waitlisting: Join a waitlist for full classes.
  • Exceptional Circumstances Form: Apply for special approval (medical, carer, placement, or clashes) to join a full class.

1. View Your Personal & National Timetable

Log into the Student Portal using your Microsoft credentials to access the Timetable Hub, toggle between visual and text schedule views, and view all class offerings across every campus and online.

2. Decode Your Class Naming Convention

From Trimester 3, 2026, all classes use a standardised class code (such as SYD26T3_CLASS_02). Learn how to break down campus codes, trimester identifiers, activity types, and class numbers at a glance.

3. Swap a Class Allocation (Self-Service)

If you prefer a different class time, you can swap into any open class directly through the portal from the timetable release date through the end of Week 2—no approval or paperwork required.

4. Join a Class Waitlist

When a preferred class reaches maximum capacity, you can add yourself to the waitlist. If a spot opens up, the system will automatically allocate you to the class.

5. Request to Join a Full Class (Exceptional Circumstances)

If a class you need is full and you cannot resolve your schedule yourself, you can submit an official application for special approval. Requests are reviewed for specific eligible needs—such as medical conditions, carer responsibilities, placement conflicts, or unresolvable timetable clashes—and require supporting evidence.

6. Request a Delivery Mode Change

If you would like to change your subject from On Campus to Online, or Online to On Campus, please submit the Subject Delivery Change Request Form.

Requests are subject to class availability and are not guaranteed. International students must also meet the applicable online study requirements.

If approved, please allow up to 48 hours for your new class allocation to appear in My Timetable. Once updated, you can make further timetable changes if needed.
