Acceptable Type of Supporting Evidence

Student Experience Team Student Experience Team

When submitting an application for Special Consideration, Leave of Absence, or Remittal of Fees, you must include supporting evidence that clearly explains your circumstances, the dates affected, and how your studies were impacted. Evidence should come from a qualified, independent professional—such as a doctor, counsellor, or employer—and must be verifiable. Providing accurate and complete documentation ensures your application can be reviewed fairly and efficiently under Ikon’s Assessment and Fees Policies.

What evidence counts

You’ll need to provide evidence that verifies your circumstances and supports your application.
Evidence must come from an independent and qualified source (not a family member or friend).

Acceptable examples include:

  • Medical certificate or letter from a registered health practitioner outlining illness, injury, or treatment period.
  • Letter of support from a counsellor, psychologist, lawyer, or social worker confirming relevant circumstances.
  • Employer letter on company letterhead verifying unexpected changes to work hours or commitments.
  • Letter from a religious or cultural authority on official letterhead confirming obligations or events.
  • Death certificate or funeral documentation (such as a funeral director’s statement or service notice).
  • Police report or government correspondence (e.g., from Justice, Defence, or Emergency Services departments).
  • Court or jury summons/notice confirming attendance requirements.
  • Statutory declaration made by someone with direct knowledge of your situation.
  • Sports commitment confirmation from a recognised organisation (e.g., official team or event participation).

For details on what must be included in a doctor’s or counsellor’s letter, see Acceptable medical certificate or letter of support.

Evidence requirements

To ensure your evidence can be assessed without delay, make sure it meets the following standards:

  • All evidence must be verifiable — we may contact the issuing authority to confirm authenticity.
  • Documents must include your full name, relevant dates, and clearly show how the circumstance impacted your ability to meet assessment requirements.
  • If the document is not in English, it must be translated by a NAATI-accredited translator. Accredited translators can be found at NAATI.
  • Submit copies only (PDF or JPG format); keep your originals safe.
  • All applications and evidence are treated confidentially under Ikon’s Privacy and Assessment Policies.

Tips for a strong application

  • Check that your evidence clearly connects your circumstances to the study period or assessment affected.
  • Use professional, dated documents that include a signature or official stamp.
  • Avoid submitting multiple or unclear files — one clear and complete document is best.
